Privacy Policy
Purpose
Community Child Care takes its obligations under the Privacy Act 1998 (Cth), the Health Records Act 2001(Vic) and other applicable privacy laws seriously. We respect the privacy of the personal information that we hold. 

Principles

  • CCC only collects information that it is required for its legitimate functions and activities
  • CCC collects information to enable the monitoring of its delivery of outcomes
  • CCC only collects personal information by lawful and fair means
  • CCC takes all reasonable precautions to protect individual's personal information

Personal Information
Personal Information collected and held by Community Child Care may include individual's name, date of birth, current and previous address, telephone and mobile phone numbers, e-mail addresses, credit card details, occupation, Tax file number or bank account number. 

Person Information is collected for the purpose of: 

  • Providing our services
  • Researching and developing our services
  • Reporting to government authorities
  • Complying with the law

In certain circumstances we may collect sensitive information such as health information. We only collect this information with the individuals consent or as required or authorised by the law. 

How we collect personal information
Community Child Care collects personal information in a variety of ways, including:

  • Directly from people when they provide information by phone, in person or in written form
  • From third parties such as government agencies
  • Information from referees

Where possible CCC will collect personal information directly from the individual concerned. However, in some cases we may receive personal information about an individual from a third party such as referees and government agencies.
In either case we will take reasonable steps to ensure that the individual is aware of the purpose for which the information is collected. 

Use and disclosure of personal information
We may provide relevant personal information about individuals to government departments and sponsor organisations where we are required or authorised by law to do so. 

We may also provide personal information about individuals to our service providers who assist us in providing our services. These may include organisations that assist CCC with data processing and analysis, research or mail services. 

We may otherwise use or disclose personal information (including health information and other sensitive information) about staff, students and members to other individuals for purposes related to the main purpose for which the information was collected, with the consent of the individual or as requested or authorised by law.
Storage 

We will take reasonable steps to protect the security of the personal information that we hold from misuse and loss and unauthorised access, modification or disclosure. This includes appropriate measures to protect electronic materials and materials stored in hard copy. We train our employees how to properly handle personal information and we restrict access to what is necessary for specific job functions. 

Cookies
Like many companies, we use "cookie" technology on and off within our website. Cookies are pieces of information that a website transfers to an individual's hard drive for purpose of keeping records. They enhance your online experience by saving your preferences while you are visiting a particular site. The cookies do not contain any personal information and cannot profile your system or collect information from your hard drive.

When you view our website we may place a "cookie" on your computer. Temporary cookies are used for purposes such as counting the number of visits to our site. These temporary cookies are eliminated when you exit your browser. A permanent cookie may also be stored on your computer by your browser. When you log in, this type of cookie tells us whether you've visited us before or if you are a new visitor. The cookie doesn't obtain any personal information about you or provide us with any way to contact you, and the cookie doesn't extract any information from your computer.

The "help" portion of the toolbar on most browsers will tell you how to prevent your browser from accepting new cookies, how to have the browser notify you when you receive a new cookie, or how to disable cookies altogether. Remember, though, that cookies allow you to take full advantage of all of our website features, and we recommend that you leave them turned on.

Anonymity
Individuals are not obliged to give us their personal information. However if an individual chooses not to provide CCC with certain personal information, particularly that information which we are required to collect by Law, then we may not be able to provide you with the full range of our services. 

Access and correction
Individuals can request access to and correction of the personal information that CCC holds. We take reasonable steps to make sure that the personal information we collect, use and disclose is accurate, complete and up to date.

Procedure

Data Collection and Quality 

  • Annual collection of data on all members maintained as database and updated monthly by the Privacy Officer.
  • Student information will be collected and maintained by the Training Coordinator.
  • The Executive Officer or Team Leader will maintain staff and consultancy information.

Use & Disclosure 

  • CCC will only disclose personal individual information if required by law.
  • CCC will only include personal individual information in reports to funding bodies when it is a requirement of the funding body or by legislation.

Openess 

  • CCC will let individuals know what sort of personal information it holds, how it collects, uses and discloses that information.

Access and correction 

  • Upon receipt of a 'Personal Information Request Form', CCC will provide the person requesting access to their individuals personal information within 5 working days.

Identifiers 

  • Except where specifically authorised by the Privacy Act or required by law, CCC will not adopt as its own identifier an identifier that has been assigned any other agency or government department.

Transborder Data Flow 

  • Community Child Care will not transfer personal information about an individual to anyone in a foreign country.

Complaints 

  • Complaints about how personal information is managed by CCC will be addressed by the Privacy Officer.

Compliance Audit 

  • The Privacy Officer will conduct an annual privacy audit.
 

The Australian Government Department of Education, Employment and Workplace Relations (DEEWR) Office of Early Childhood Education and Child Care, funds the Professional Support Coordinator initiative as part of the Inclusion and Professional Support Program.
